Arco: mobile invoice workflow

Business context

As the scale of operations grew, so did the number of financial documents and the time needed to process them. The Arco team, affiliated with Flow Pilots in Belgium, needed a simple mobile tool to reduce the workload for employees and streamline everyday invoice handling.

The goal was to centralise invoice review and approval in a single application, integrated with the existing web services. The solution was intended to shorten response times, reduce the risk of oversight, and ensure clear visibility of comments and accounting entries.

The project was delivered in 2015 with a focus on rapid implementation, high usability, and easy adoption by employees, for whom mobility and interface simplicity were key.

Challenge

The main challenge was to design an intuitive mobile application for Arco employees that would simply retrieve and present invoices from web services. The interface had to provide quick access to the document list, invoice details, and related information.

The functional scope included, among other things, a “hold on” mode for temporarily putting invoices on hold, reminders to confirm them, and the display of comments and accounting entries (booklines). At the same time, it was necessary to ensure reliable synchronisation with the backend and a minimal learning curve for the user.

Solution

Leaware built the Arco application using Xamarin.iOS and the MVVM Cross pattern. This technology choice provided a clear architecture, separation of logic from the presentation layer, and efficient integration with the web services responsible for distributing invoices and metadata.

The application enables employees to conveniently review invoices, comments, and accounting entries, place documents in “hold on” mode, and receive approval reminders. A strong focus on simple flows and the readability of the detail screen shortened the path to completing key tasks.

The result is a simplified, seamless invoice handling process in a mobile environment. The solution was positively received by internal users, which translated into smoother work for operational departments and a lower risk of delays.
